Finding a Form
Find any form in your workspace by name, client email, or anything in its answers: a phone number, a national ID number, an email address, a relative's name or a CEAC Application ID.
A client sends a screenshot with a phone number on it but no name. The search box on the Forms page looks inside every form’s answers as well as its name, so you can find the form from whatever detail you have.
Who this is for. Anyone in a business workspace. A personal workspace lists its forms without a search box.
Search the list
Type in the search box at the top of Forms. You can search for:
- The form’s name or the client’s email address, matched as you type.
- Anything in the answers: phone numbers, national ID numbers such as a Romanian CNP, email addresses, passport numbers, addresses, and the names of anyone on the form (parents, spouse, U.S. contacts, travel companions).
- A CEAC Application ID (AA00…) from any of the form’s filings.
Answers are searched once you have typed at least three characters and paused. While that runs, Searching answers… shows next to the count. Archived forms are always included, so a finished client from last year turns up too.
Why a form is in the results
A form found through its answers shows a line under its name with the answer that matched, the matched part highlighted. For example: Primary Phone Number: +40 758 108 422. A form named after the applicant can still be the right result for their father’s name or their work phone, and that line tells you which answer it was.
Typing numbers
Phone numbers and ID numbers match on their digits alone, so spaces, dashes, brackets and a leading + or 0 make no difference. 0758108422, 0758 108 422 and +40 758 108 422 all find the same form, whichever way the number was entered.
Text matching ignores capitals and accents: stefan finds ȘTEFAN, and popescu finds Popescu. Where an answer has been translated into English, both the original and the translation are searched.
What isn’t searched
- Yes/No answers, dates, and choices picked from a list such as countries. Searching “yes” or a country code would otherwise match nearly every form.
- Uploaded documents and messages. Photos, passport scans and form messages aren’t searched.
When more than 50 forms match, only the first 50 are shown, newest first. Add more of the detail to narrow the search.
Your clients’ answers stay encrypted
Answers are stored encrypted. A search reads them only while it runs, and nothing is saved: neither what you searched for nor a searchable copy of the answers.
